LEGAL ADMINISTRATIVE ASSISTANT

About the role
As a Legal Administrative Assistant, you will work directly with our Managing Director as the primary point of contact for both administrative and legal matters. Your role includes managing the Director’s daily schedule, communications, and meetings, as well as organizing office operations and documentation processes. You will be responsible for reviewing contracts, organizing and maintaining legal documents, and improving documentation workflows. Additionally, you will develop and implement company-wide standard operating procedures, update internal processes, and maintain an organizational matrix outlining roles and responsibilities to ensure operational efficiency. This position offers a unique opportunity to combine practical legal work with executive assistance duties in an international shipping container leasing company.

Key areas of responsibility include
Executive Support (Primary):
- Managing the Director’s daily schedule, correspondence, and communications
- Handling administrative tasks and organizing meetings
- Coordinating with clients, partners and team members
- Maintaining office organization and documentation systems
- Supporting various business operations as needed
Legal Tasks:
- Reviewing contracts daily within the shipping/container leasing industry
- Conducting preliminary legal document checks before the Director’s final approval
- Organizing and maintaining company legal documentation
- Assisting in improving documentation processes
Administrative Tasks:
- Developing and implementing comprehensive standard operating procedures (SOPs) for all company functions and departments
- Creating and maintaining an organizational function matrix documenting roles, responsibilities, and duties for all positions
- Reviewing and updating company processes to ensure operational efficiency
- Maintaining and updating internal documentation of organizational structures and workflows
- Bringing creativity to the planning and organization of trade shows and exhibitions
You will work alongside our Managing Director and Director of Finance & Operations as an essential member of the team and collaborate closely with our sales team. You will have the opportunity to learn and take on new tasks, and we expect you to have a curious and commercial mindset.
The employment is permanent and based at our Helsinki office in Vuosaari. You have the option to work remotely part of the time if you wish, but we hope you will join us at the office at least twice a week alongside the rest of our team. The starting date can be arranged according to your situation, but we hope you can begin as soon as possible.
What we are looking for
You already have a good deal of studies (approximately 180 ECTS) behind you, and you are familiar with the basics of commercial and contract law. While we don’t expect you to know everything, a proactive mindset, business-oriented approach and strong organizational skills are essential. As our working language is English, proficiency in both spoken and written English, as well as Finnish is necessary.
